Approvals

Approvals let the right people check a page before it goes live. Who approves is set for each kind of page; whether a change needs approval follows from the editor’s role.

How approval works

Someone whose role may publish publishes straight away. Someone whose role may edit but not publish sends the change for review: the page waits as Pending approval until an approver approves it, and the live page stays as it was.

Choose who approves

  1. Open the approval settings

    In the sidebar, open Settings & Integrations and choose Approvals.

  2. Choose the approvers

    For each kind — Page publish and Programme page publish — choose the Approvers: for example Nearest leader in the organogram, Location leader, Organisation administrators, Specific people or People with a role.

  3. Set the rules

    Set Approvals required, whether Self-approval is allowed, who to Notify, and the Reminder (business days) and Escalation (business days).

  4. Check and save

    Who would approve this shows the result for an item. Choose Review changes, then Confirm.

Approve or request changes

  1. See what is waiting

    In the sidebar, under Site, choose Approvals. The Pending filter shows what is waiting for you.

  2. Look before you decide

    Open an item. Preview as a visitor shows the change as it will appear; Copy preview link shares it.

  3. Decide

    Choose Approve and publish. Or choose Request changes, describe them under Requested changes, and choose Send request.

Good to know

Changing approval settings needs permission to edit settings and to publish. Business days skip South African public holidays. For approvals inside a workflow, see Approvals in workflows.
