Edit a newsletter together

Overview

Several people can edit an issue at the same time. The issue and each section show who is editing them. If two people change the same section at once, Reach keeps both versions, and an approver merges them.

Before you start

To edit an issue, your role needs Edit on newsletters. To merge two versions, you must be an approver of the newsletter, or your role must be able to send it. See Approve a newsletter.

See who else is editing

  1. Open the issue

Open an issue of a newsletter.

  2. Look at the header

Look at the top of the editor. A face shows for each person who has the issue open.

  3. Look at a section

Select Sections in the rail. A face beside a section shows who edits it now.

  4. Check the list

Look at the issues of a newsletter. A small badge shows how many people edit an issue now.

If someone changed the section before you

  1. Type

Type in a section. Reach saves your changes as you type.

  2. Read the message

If someone saved the same section first, read Your version is kept. It names who will merge the two versions.

  3. Continue

Select Load the latest version to continue from their changes.

  4. Merge it yourself

If you can merge, select Open the merge.

Merge two versions of a section

  1. Find the request

Open My work and select the merge of the section. In the editor, you can also select Merge waiting.

  2. Read the changes

Read each block. Conflict is a block both people changed.

  3. Select a version

Under Whole section, select Accept A, Accept B or Accept both. Or select a version on each conflict.

  4. Check the result

Read Result. Accept both keeps the two blocks: A first, then a copy from B.

  5. Save the merge

Select Save the merge. The section gets the result, and the issue gets a new revision.

Undo a merge

  1. Revert

Open the merge again. Select Revert the merge, then Revert. The section goes back to version A.

  2. Use the history

If someone saved the section after the merge, use the issue’s history to restore an earlier version.

Troubleshooting

If Save the merge is not available, choose a version for each conflict.

If you do not see Open the merge, you are not an approver of the newsletter. The approvers get the request in My work.

If you see This issue changed while you were editing it, someone changed the order of the sections or a title. Choose a version in that message.

Good to know

Sections, not issues. Reach keeps a version of the section you typed in. Changes to other sections save as usual.

Every merge is a revision. The issue history lists it, and you can revert it.

Withdraw. The author of version B can select Withdraw version B. The section keeps version A.

Collaborative newsletters: give each section to a writer.
Approve a newsletter: who approves an issue.
Edit together: the same in Pages.
